NDA & Confidentiality

Wigiwork operates an NDA-Safe™, anonymous-by-default hiring environment designed to protect identities, prevent unauthorized disclosure, and maintain strict confidentiality across all candidate and employer interactions.

This Notice explains the confidentiality obligations that apply to all users, including candidates, employers, and recruitment agencies.

This Notice supplements the Terms of Service, Privacy Policy, Data Protection Notice, Anonymous Profile Protections, Acceptable Use Policy, Employer Accounts terms, and AI & Automated Decision Notice.

1. NDA-Safe™ Protected Environment

By accessing or using Wigiwork, users agree to contractual confidentiality and NDA-Safe™ obligations covering information accessed through the platform.

Users agree to treat all non-public information accessed on Wigiwork, and all information made available through restricted platform areas, as confidential unless disclosure is expressly permitted by Wigiwork, the applicable data owner, or the relevant access workflow, including:

  • candidate profiles (anonymous or approved)
  • employer/company information
  • job postings and hiring details
  • internal notes, tags, or communications
  • any files, images, or documents
  • messages exchanged through the platform

You may not disclose, forward, copy, export, or reuse any information outside Wigiwork unless explicitly permitted by the party who owns the data.

Confidentiality obligations extend to all data, content, system-generated outputs, and AI-derived information accessed through Wigiwork.

AI-generated summaries, Wigi Highlights, Wigi Chat outputs, recommendations, search results, and system-generated profile or hiring information are confidential platform outputs and may be incomplete, inaccurate, outdated, or misleading. Users must not treat, repeat, publish, forward, or rely on such outputs as verified factual statements about identity, employment, affiliation, qualifications, availability, hiring status, or company relationships unless expressly marked as verified by Wigiwork.

2. Confidentiality Obligations

Users must not:

  • screenshot, record, save, or distribute any profile or content;
  • upload candidate information into ATS, CRM, spreadsheets, databases, or external systems, except through Wigiwork-approved integrations and only where permitted by the applicable access, integration, and candidate-approval settings;
  • share candidate data with unauthorized individuals or teams;
  • attempt to deanonymize or identify candidates outside approved access;
  • repurpose information for marketing, sales, or solicitation;
  • violate access expiration rules.

All candidate and employer information is subject to NDA protection.

Users are responsible for how they access, use, and handle information obtained through Wigiwork.

Unauthorized retention, reuse, or distribution may result in suspension, termination, or legal action.

3. Wigi-DNA™ Content Protection

Certain files and images include Wigi-DNA™, an invisible digital watermark designed to:

  • detect unauthorized copying or redistribution
  • support investigation of leaks
  • enforce confidentiality
  • trace misuse to the violating account

Wigi-DNA™ does not visibly display personal identity information. It may include or be associated with pseudonymous forensic markers that allow Wigiwork to investigate copying, redistribution, access misuse, or confidentiality violations by linking protected content to relevant account, organization, access, or audit records.

Users may not attempt to modify, remove, bypass, or interfere with Wigi-DNA™ protections.

Wigiwork does not guarantee that Wigi-DNA™ protections will be effective in all cases, particularly where content is altered, captured externally, or used outside supported environments.

4. Company Ownership of Employer Accounts

Employer accounts belong to the company, not the individual who created them.

This means:

  • If an employee or recruiter creates a company account, the company owns it, not the employee.
  • If the company requests control, Wigiwork will transfer account ownership to the verified company representative.
  • Recruiters do NOT personally "own" employer accounts or candidate access.
  • Wigiwork may require verification from company leadership before transferring or modifying access.

This protects businesses from unauthorized access or rogue employees.

Employers are responsible for all actions taken under their accounts, including actions of employees, recruiters, contractors, and authorized users.

5. Recruiter & Agency Confidentiality Rules

Recruiters and agencies must:

  • disclose the employer clients they represent
  • identify the specific hiring client for each job or search
  • use candidate information only for the authorized employer
  • never pool or reuse candidates across multiple clients
  • not store or export candidate information to agency systems
  • maintain strict confidentiality across all clients and roles

The full scope of recruiter, agency, and end-client access — including that access is limited to a single named end client, and that any different client, role, or hiring process requires a new Profile Access Request and fresh candidate approval — is governed by Section 3A (Recruiter, Agency and Client Access Scope) of the Employer Accounts terms.

Failure to comply may result in suspension, termination, or legal action.

6. Candidate Identity Protections

Candidates appear anonymous by default, and identity is shared only when the candidate explicitly approves an Access Request.

Users must not:

  • attempt to guess, infer, or identify candidates
  • combine profile information with external data sources
  • analyze writing style, skills, or history to determine identity
  • discuss or distribute information that could reveal identity

Violation may result in suspension, termination, and legal action.

Wigiwork does not guarantee that identification is impossible in all circumstances, particularly where users act outside platform controls.

6A. WigiPic™

Users may select a WigiPic from Wigiwork's pre-created archive, or generate one from an uploaded photo, which is processed for the purpose of generating the WigiPic and deleted from active production systems after generation, subject to limited temporary retention in backups, security logs, vendor systems, or legal/compliance records where applicable.

A photo-based WigiPic reflects the general format of the uploaded image but remains a stylized illustration; it may be less anonymous than an archive-selected avatar, and the choice is entirely optional. In either case, WigiPics do not represent real appearance and must not be interpreted as indicators of:

  • gender or gender identity
  • ethnicity or race
  • age
  • attractiveness
  • disability status
  • religion
  • or any other personal or protected characteristic

Employers, recruiters, and agencies must not:

  • attempt to infer identity or demographic traits from a WigiPic;
  • use a WigiPic to judge suitability for a role;
  • store, export, copy, or repurpose WigiPic Images;
  • use WigiPics in any marketing or public materials;
  • compare WigiPics to external images or attempt re-identification.

Misuse of WigiPic avatars is treated as an NDA violation and may result in suspension, account termination, or legal action.

Wigiwork is not responsible for any inference, interpretation, or misuse of WigiPic representations by users.

7. Mobile Number Requirements

Wigiwork uses your verified mobile number as the primary identifier for your account, whether you are registering as a candidate, employer, recruiter, or agency representative. Registration requires a valid mobile number, which must remain accurate and current; email serves as a secondary contact and recovery method. You must promptly update your mobile number if it changes, and failure to maintain a valid, verified number may result in restricted account access.

To support safety and verification, Wigiwork requires:

  • real mobile numbers only
  • no landlines
  • no VoIP or virtual phone numbers (e.g., Google Voice, TextNow)
  • no temporary or disposable numbers

Mobile numbers are used for:

  • primary account identification
  • security
  • verification
  • essential notifications

They are not used for marketing.

In addition to essential security and verification messages, Wigiwork may send occasional activity update texts related to your account (e.g., profile status, message activity). These activity update texts can be disabled at any time in your notification settings. Disabling them does not affect your ability to access or use the platform.

If a user is unreachable through regular channels, Wigiwork may send a final-attempt SMS notification limited to account security, safety, or compliance purposes (for example, confirming account status or notifying of a security event).

This type of message cannot be disabled, as it is necessary to protect your account and comply with applicable law. It is not used for marketing, re-engagement, or general outreach purposes.

Wigiwork is not responsible for delivery failures, delays, or issues caused by third-party telecommunications providers.

8. VPN, Proxy & Location Integrity

To maintain platform safety and compliance:

  • Users should not use VPNs, proxies, or location-masking services when accessing Wigiwork.
  • These connections may trigger additional verification or lead to restricted access.
  • Wigiwork may determine or adjust a user's apparent location based on internal safety and compliance measures.

This ensures:

  • anonymity integrity
  • fraud-prevention
  • conflict-of-interest protections
  • sanctions and regulatory compliance
  • hiding from specific companies works correctly

Wigiwork does not disclose geo-detection methods.

Use of VPNs, proxies, or location-masking tools may result in restricted access, additional verification, or suspension.

9. Email Integrity & Authenticity

To maintain trust and improve verification:

  • Real, verifiable email addresses are required.
  • Public email domains (e.g., Gmail, Outlook) are allowed.
  • Using a company email increases trust and may improve verification outcomes.
  • Disposable or suspicious emails may lead to limited access or verification requirements.

Wigiwork may require email verification at any time.

Wigiwork is not responsible for access limitations resulting from unverifiable, disposable, or inaccurate email information.

10. Use of Information for Hiring Purposes Only

Employers and recruiters may use candidate information solely for:

  • evaluating candidates for specific roles
  • legitimate hiring workflow steps
  • internal recruitment collaboration (within the same employer)

They may not:

  • resell or sublicense candidate data
  • use data for non-hiring purposes
  • build external talent databases
  • contact candidates outside Wigiwork without permission

Employers and recruiters who store, share, or redistribute candidate information outside the platform are solely responsible for that conduct and act as independent controllers under applicable data-protection laws, including the GDPR, UK GDPR, and CCPA/CPRA. Wigiwork does not control, and is not liable for, actions taken by users outside the platform.

11. Consequences for Violations

Violations of this Notice or any NDA-Safe™ rule may result in:

  • suspension of employer or recruiter access
  • permanent termination
  • organization-wide bans
  • revocation of verification status
  • preservation of logs for evidence
  • civil or criminal legal action
  • claims for damages arising from misuse
  • Wigi-DNA™ tracing investigation
  • reporting to affected parties and authorities

Wigiwork enforces confidentiality to the fullest extent permitted by law and may pursue legal remedies where appropriate.

Wigiwork may take enforcement action without notice where required to protect platform integrity, user safety, or compliance obligations.

Users who store, share, or redistribute information outside the platform are solely responsible for that conduct. Wigiwork does not control, and is not liable for, actions taken by users outside the platform, without limiting Wigiwork's own obligations as a data controller under applicable data-protection laws.
