This page defines how Wigiwork billing works for employers, including credit purchases, usage rules, expiration, refund eligibility, billing disputes, and payment responsibilities.

Wigiwork provides employers with a credit-based system that governs access, outreach, and certain paid features. This Billing, Credits & Refunds Policy explains how credits work, how purchases are billed, when refunds are issued, and how disputes are handled.

This Policy forms part of the Wigiwork Terms of Service and applies to all Clients (employers, companies, recruiters, and authorized users).

1. Overview of Paid Services

Wigiwork uses a flexible, usage-based credit system. Credits may be used for:

  • Requesting Profile Access to candidates
  • Sending paid outreach or priority messages
  • Any other paid feature Wigiwork introduces

Credits are not a currency, have no cash value, and cannot be exchanged, transferred, or traded outside the platform.

2. Purchasing Credits

Credits may be purchased through:

  • Credit packs
  • Automated replenishment (if enabled)
  • Enterprise or custom agreements
  • Manually issued credits (e.g., promotions, remediation, support adjustments)

All purchases are processed through Stripe or another approved payment processor.

By purchasing credits, you authorize Wigiwork and its payment partners to charge your selected payment method for the full amount, including applicable taxes.

3. Credit Usage & Deduction

Credits are deducted automatically when you perform an eligible action. For example:

  • When you request Profile Access to a candidate
  • When you send a paid or priority message to an anonymous profile

Usage is final and cannot be reversed once the action is completed.

Wigiwork may batch or group deductions for multi-candidate or bulk activity.

Credits may be deducted at the time an action is initiated or completed, depending on the feature.

Certain actions may involve a temporary hold of credits for a defined period to support platform workflows, candidate response windows, or verification processes before final settlement.

3A. Profile Access Requests & Unlock Charges

When an employer submits a Profile Access Request:

  • A request fee is charged regardless of whether access is granted
  • A credit amount may be temporarily withheld during the request period
  • If access is approved, the full unlock fee is charged
  • If access is not approved, any withheld credits (excluding the request fee) are returned after the defined holding period

Wigiwork may apply a holding period (e.g., up to 5 days) before releasing withheld credits.

All request fees are final and non-refundable.

3B. Messaging Charges

Messaging may be charged on a per-message basis when communicating with anonymous profiles.

  • Each message sent may incur a charge, regardless of whether a reply is received
  • Charges apply per message action
  • Once Profile Access is granted, messaging may become free or included as part of the unlocked interaction

Wigiwork does not guarantee responses, engagement, or communication outcomes.

4. Credit Expiration

Unless otherwise stated:

  • Purchased credits expire 12 months after the purchase date
  • Promotional, free, manually issued, enterprise, or custom credits may have different expiration terms
  • Credits are consumed on a first-in, first-out (FIFO) basis, meaning the oldest available credits are used first

Wigiwork may send reminders or notices before credits expire, but is not required to do so.

Expired credits cannot be restored. Credits are non-transferable and may only be used by verified users within the same organization.

5. Pricing & Taxes

All fees are exclusive of applicable taxes. Depending on your location, the following may be applied:

  • VAT
  • GST
  • Sales tax
  • Digital services tax

Prices may be displayed and charged in supported local currencies based on your company location, billing country, or other account information. Currency conversion, taxes, and payment processor fees may affect the final amount charged or settled.

Invoices are automatically generated and accessible via your Billing dashboard.

6. Refund Policy

Wigiwork provides a fair but strict refund policy for employer accounts.

6.1 Refunds for unused credit packs

Refunds may be granted only when:

  • Credits remain fully unused
  • The refund request is submitted within 14 days of purchase
  • No portion of the credit pack has been consumed
  • There is no active investigation involving the account

Refunds are issued to the original payment method.

6.2 No refunds for used credits

Once credits are consumed — including Profile Access, outreach messages, or any premium feature — no refunds or reversals will be issued.

6.3 Refunds due to technical failure

If a paid feature fails due to a confirmed system error, Wigiwork may:

  • Reissue the deducted credits
  • Issue replacement credits
  • Apply an account adjustment

6.4 Disallowed refunds

Refunds will not be issued for:

  • Employer dissatisfaction with a candidate
  • Lack of employer response
  • Candidate inactivity or non-response
  • Employer misuse of the platform
  • Policy violations
  • Account termination caused by misuse or fraud

6.5 Required refunds (legal jurisdictions)

If applicable law mandates a refund, Wigiwork will comply with the relevant consumer protection requirements.

Request fees, messaging fees, unlock fees, and all usage-based charges are non-refundable once incurred.

Temporary credit holds do not constitute completed charges and may be adjusted based on platform workflows.

7. Job Posting (Free Feature)

Job postings on Wigiwork are provided free of charge.

Each job remains active for a fixed period of 30 days from the date of publication.

After 30 days, the job automatically expires and is removed from active discovery.

Job postings are not extended automatically and do not support paid extensions or additional duration.

If the role remains open, a new job must be posted.

Wigiwork provides job postings as a discovery feature and does not guarantee visibility, candidate engagement, responses, or hiring outcomes.

8. Chargebacks & Disputes

Initiating a chargeback may result in:

  • Suspension of the employer account
  • Locking of purchased credits
  • Removal of candidate access
  • Interruption of platform features

If a chargeback is upheld, Wigiwork may:

  • Terminate the employer account
  • Forfeit all remaining credits
  • Pass on payment processor fees

Wigiwork will always attempt to resolve billing issues before a dispute is escalated.

9. Billing Errors & Adjustments

If you believe a billing or credit error occurred, you must notify Wigiwork within 30 days.

Wigiwork will review:

  • Incorrect credit deductions
  • Duplicate charges
  • Failed transactions
  • Incorrect tax application
  • Errors caused by system issues

If verified, adjustments or credit reinstatements will be issued.

10. Account Suspension & Billing

If an account is suspended or terminated due to policy violations:

  • Remaining credits may be forfeited
  • Pending or scheduled actions may be canceled
  • No refunds will be issued for credits lost due to violation

If termination is unrelated to misconduct, remaining credits may be used until expiration.

Credits associated with actions initiated prior to suspension may still be deducted or finalized in accordance with platform rules.

11. Pricing Changes

Wigiwork may adjust prices, credit values, or feature costs at any time.
Changes apply to future purchases only.

Advance notice may be provided for major pricing updates.
