Billing, Credits & Refunds Policy

Wigiwork provides employers with a credit-based system that governs access, outreach, and certain paid features. This Billing, Credits & Refunds Policy explains how credits work, how purchases are billed, when refunds are issued, and how disputes are handled.

This Policy forms part of the Wigiwork Terms of Service and applies to all Clients (employers, companies, recruiters, and authorized users).

1. Overview of Paid Services

Wigiwork uses a flexible, usage-based credit system. Credits may be used for:

  • Requesting Profile Access to candidates
  • Sending paid outreach or priority messages
  • Any other paid feature Wigiwork introduces

Credits are not a currency, have no cash value, and cannot be exchanged, transferred, or traded outside the platform.

Credits are a limited, revocable platform-use right and are not stored value, electronic money, a gift card, a deposit account, or a financial instrument.

This Policy is intended for business, employer, recruiter, agency, and professional-use accounts. Nothing in this Policy limits any non-waivable statutory rights that apply to a purchaser under applicable law.

2. Purchasing Credits

Credits may be purchased through:

  • Credit packs
  • Automated replenishment (if enabled)
  • Enterprise or custom agreements
  • Manually issued credits (e.g., promotions, remediation, support adjustments)

If Wigiwork introduces automated replenishment, it will be optional and will apply only if expressly enabled by the Client.

Before activation, Wigiwork will display the replenishment trigger, amount, payment method, and cancellation/disable method. Clients will be able to disable automated replenishment through billing settings, subject to any pending charges already incurred.

3. Credit Usage & Deduction

Credits are deducted automatically when you perform an eligible action. For example:

  • When you request Profile Access to a candidate
  • When you send a paid or priority message to an anonymous profile

Usage is final and cannot be reversed once the action is completed.

Wigiwork may batch or group deductions for multi-candidate or bulk activity.

Credits may be deducted at the time an action is initiated or completed, depending on the feature.

Certain actions may involve a temporary hold of credits for a defined period to support platform workflows, candidate response windows, or verification processes before final settlement.

3A. Profile Access Requests & Unlock Charges

Profile Unlock Credit costs vary by candidate profile and are displayed on the profile before an employer submits a Profile Access Request. By submitting a request, the employer confirms and accepts the displayed cost for that specific profile.

When an employer submits a Profile Access Request, the employer agrees that:

  • an Access Request Fee is charged when the request is submitted
  • the Access Request Fee is charged regardless of whether the candidate approves, declines, does not respond, or later revokes access
  • Wigiwork temporarily reserves the applicable Profile Unlock Credits while the request is pending, to confirm sufficient credits are available and to allow instant access if the candidate approves
  • if the candidate approves the request, the reserved Profile Unlock Credits are applied and the profile is unlocked
  • if the candidate declines the request, or does not approve it within 5 days, the reserved Profile Unlock Credits are released back to the employer's credit balance
  • a submitted request cannot be cancelled by the employer while pending; the employer must wait until the candidate responds or until the request automatically expires after 5 days
  • the Access Request Fee is excluded from any released credits and remains final and non-refundable, except where required by applicable law

3B. Profile Access Duration

Profile access is purchased for access to a specific candidate profile, not for a guaranteed period of time.

  • The length of time a profile remains open is set and controlled by the candidate and may vary by profile
  • A candidate may close, limit, or revoke access at any time, including before any stated access period ends
  • Candidate access decisions are outside Wigiwork's control
  • Any stated access period is the maximum available for that approval, not a guarantee it will remain available for the full period
  • Candidate revocation, account status, compliance actions, legal requirements, or platform restrictions may end or limit access earlier
  • Profile Unlock Credits are not refunded solely because a candidate later closes, limits, hides, deletes, or revokes access after approval, except where required by applicable law or where Wigiwork confirms a platform error
  • If profile access expires, is closed, limited, or revoked, the employer must submit a new Profile Access Request and pay the applicable fees again to regain access

3C. Messaging Charges

To open a chat with a candidate whose profile is locked, an employer must pay the applicable messaging credit.

Once paid:

  • you may send one message, and no further messages can be sent until the candidate acknowledges and opens the chat;
  • if the candidate does not acknowledge or reply, the messaging credits are not refunded, except where required by applicable law or where Wigiwork confirms a platform error, and sending remains at your own risk;
  • Wigiwork uses reasonable efforts within its communication channels to deliver your message but does not guarantee delivery, acknowledgement, reply, or any engagement outcome.

Once Profile Access has been granted, or once the candidate replies and the chat is open, messaging is free and not charged for that interaction.

4. Credit Expiration

Unless otherwise stated:

  • Purchased credits expire 12 months after the purchase date
  • Promotional, free, manually issued, enterprise, or custom credits may have different expiration terms
  • Credits are consumed on a first-in, first-out (FIFO) basis, meaning the oldest available credits are used first

Wigiwork may send reminders or notices before credits expire, but is not required to do so.

Expired credits cannot be restored. Credits are non-transferable and may only be used by verified users within the same organization.

5. Pricing & Taxes

All fees are exclusive of applicable taxes. Depending on your location, the following may be applied:

  • VAT
  • GST
  • Sales tax
  • Digital services tax

Prices may be displayed and charged in supported local currencies based on your company location, billing country, or other account information. Currency conversion, taxes, and payment processor fees may affect the final amount charged or settled.

Invoices are automatically generated and accessible via your Billing dashboard.

6. Refund Policy

Wigiwork provides a fair but strict refund policy for employer accounts.

6.1 Refunds for unused credit packs

Refunds may be granted at Wigiwork's discretion only when:

  • Credits remain fully unused
  • The refund request is submitted within 14 days of purchase
  • No portion of the credit pack has been consumed
  • There is no active investigation involving the account

Refunds are issued to the original payment method.

6.2 No refunds for used credits

Once credits are consumed — including Profile Access, outreach messages, or any premium feature — no refunds or reversals will be issued.

6.3 Refunds due to technical failure

If a paid feature fails due to a confirmed system error, Wigiwork may:

  • Reissue the deducted credits
  • Issue replacement credits
  • Apply an account adjustment

6.4 Disallowed refunds

Refunds will not be issued for:

  • Employer dissatisfaction with a candidate
  • Lack of employer response
  • Candidate inactivity or non-response
  • Employer misuse of the platform
  • Policy violations
  • Account termination caused by misuse or fraud

6.5 Required refunds (legal jurisdictions)

If applicable law mandates a refund, Wigiwork will comply with the relevant consumer protection requirements.

Request fees, messaging fees, unlock fees, and all usage-based charges are non-refundable once incurred.

Temporary credit holds do not constitute completed charges and may be adjusted based on platform workflows.

6.6 Verification fees

A one-time verification fee may be charged at onboarding. This fee is separate from platform credits.

  • If an account is rejected or cannot be verified, the verification fee is refunded to the original payment method.
  • Once verification is completed and an account is approved, the verification fee is non-refundable.
  • Platform credits remain non-refundable except as set out in this Policy.

7. Job Posting (Free Feature)

Job postings on Wigiwork are provided free of charge.

Each job remains active for a fixed period of 30 days from the date of publication.

After 30 days, the job automatically expires and is removed from active discovery.

Job postings are not extended automatically and do not support paid extensions or additional duration.

If the role remains open, a new job must be posted.

Wigiwork provides job postings as a discovery feature and does not guarantee visibility, candidate engagement, responses, or hiring outcomes.

8. Chargebacks & Disputes

If a chargeback is upheld, Wigiwork may:

  • Terminate or restrict your account
  • Recover unpaid amounts and payment processor fees
  • Require prepayment for future services
  • Offset or forfeit remaining credits where permitted by law, including where the dispute relates to unpaid platform activity, misuse, fraud, or policy violation

If a chargeback is upheld, Wigiwork may terminate or restrict the employer account, recover unpaid amounts and payment processor fees, offset amounts against remaining credits where permitted, and forfeit remaining credits where the dispute relates to misuse, fraud, policy violation, or unpaid platform activity.

Wigiwork will always attempt to resolve billing issues before a dispute is escalated.

9. Billing Errors & Adjustments

If you believe a billing or credit error occurred, you must notify Wigiwork within 30 days.

Wigiwork will review:

  • Incorrect credit deductions
  • Duplicate charges
  • Failed transactions
  • Incorrect tax application
  • Errors caused by system issues

If verified, adjustments or credit reinstatements will be issued.

10. Account Suspension & Billing

If an account is suspended or terminated due to policy violations:

  • Remaining credits may be forfeited
  • Pending or scheduled actions may be canceled
  • No refunds will be issued for credits lost due to violation

If termination is unrelated to misconduct, remaining credits may be used until expiration.

Credits associated with actions initiated prior to suspension may still be deducted or finalized in accordance with platform rules.

11. Pricing Changes

Wigiwork may adjust prices, credit values, or feature costs at any time.
Changes apply to future purchases only.

Advance notice may be provided for major pricing updates.
